Attention!

Regarding issuing certificates for current, graduated/completed students at Kofu campus

The University of Yamanashi has decided to issue certificates only by post until further notice, due to the prevention of the coronavirus.  Please see “3. Requesting/receiving certificates by post” for more details.
The Automated certificate issuing machine for current students is available as usual.
We are sorry that the issuing a certificate will take longer than usual.  Please plan ahead to receive these certificates.

(Certificates in English)      It takes about 7 to 14 days for issuing certificates in English.
(Certificates in Japanese)   It takes about 7 days for issuing certificates in Japanese.

Please contact staff by e-mail if you have any question about this. It might be difficult for us to respond immediately if you phone us. We greatly appreciate your understanding and cooperation regarding this decision.

Costs on issuing certificates (Application from June 1st, 2018):

The University of Yamanashi has issued certificates such as school transcripts, certificates of graduation and other related certificates with no charge to former students. However, considering the cost of work and beneficiaries to former students, the university has charged a fee for issuing certificates from June 1st, 2018 including the request with the postmark of this date.   We greatly appreciate your understanding and cooperation regarding this decision.

(1) Students who will be charged

Former students who graduate, complete or withdrew from the university (including those who enrolled as a full time student, research student, special research student, credited auditor, special audit student, those who were conferred with doctoral degree by dissertation only, etc.)

  • The students who don’t belong to the university cannot use the certificate issuing machine. (Even if you graduated from the university and belong to the grad school, you cannot use the certificate issuing machine.)
  • An immediate issue is not available. It takes from 7 to 10 days for issuing certificates in English.  (It take about 3 days for issuing certificates in Japanese.)

@Certificate Fee

  • Certificate in Japanese: 300 JPY per certificate
  • Certificate in English: 500 JPY per certificate

When you request a certificate such as Graduation Certificate, you have to pay a fee only at Yucho Bank using a payment handling fee.  We don’t accept cash or postal money orders.  We are accepting one paying method only, which is using a paying slip of Yucho Bank.  You can’t use an internet banking system.

Please visit our office with a receipt of payment and your ID.

It is possible to make a payment after visiting the university, but it takes from 10 to 15 minutes by walking to the nearest post office from the university.  We are sorry for the inconvenience and we greatly appreciate your understanding and cooperation

(2) Students who won’t be charged

  • Those who continue to be enrolled in the University of Yamanashi
    the date before graduate, complete or withdrew

(For mail request: a request with the postmark should be before the last day of the month you graduate.)

  • The current faculty certificate you belong to including grad school
  • The applicant (the former student himself/herself) is currently living outside of Japan (You will be charged a fee when an attorney living in Japan applies on behalf of the former student)

  • (*1) When you can’t issue a graduation (completion) certificate from the machine, please visit the office of Academic Affairs Division.
  • (*2) When you can’t issue a student discount certificate, please visit the office of Academic Affairs Division.“Certificates of Commute” and “Student discount certificate” cannot be issued to research students, partial students, and special auditing students.
  • (*3) Only the student expected to graduate can issue a Certificates of Health Checkup by machine. If you can’t issue from the machine (students who are first, second, third year students unable to issue from the machine) or the person send a request by mail, please contact the Health Care Center (055-220-8081).
  • (*4) Because it takes a month to issue a certificate of commute for practical training, please consult the curriculum affairs of each faculty as early as possible.
  • (*5) We can issue transcripts instead of credits. Please ask each department.
  • (*6) We issue a certificate for the current subject.
  • Please bring your student ID when receiving certificates.

How to Request Certificates for Graduates and for those who have Completed a Program

In-Person Requests (at the Curriculum Affairs office in Education Planning Division or the Curriculum Affairs Office of each Faculty)

Fill in the “Certificate Request Form” at the office with all required information. Those who wish to collect certificates in person should specify the same. Those who wish to have certificates sent via mail should also provide a self-addressed, stamped envelope. For envelope sizes and postage, refer to “Requesting Via Mail,” step 3 for more information.

  1. Print the “Certificate Request Form” provided below (if you are unable to print the form, proceed to Step 2).

  1. Ensure to note the following items on the “Certificate Request Form” (if you cannot print the form, simply note the following items on a sheet of paper).
  • Student ID number
  • Faculty and department
  • Date of graduation or completing a program
  • Name
  • Date of birth
  • Current address
  • Contact address and telephone number (where the individual can be contacted during daytime hours)
  • Required types of identification and number for Japanese and English versions
  • Purpose of request and where certificates will be used

Those whose names have changed must specify the name used while attending the university. The certificate will be printed with the name used while attending the university.

Notes

When issuing certificates…

  • Certificates are normally sent within 3 days in Japanese and 7-10 days in English of receipt of the request via mail or at our office excluding weekends, holidays. However, please be aware that issuing certificates may take more time during peak periods.
  • Certificates can, in principle, only be sent to an individual in question. In cases where an individual lives overseas or in other extenuating circumstances, certificates may be requested by and sent to a proxy. In such a case, the proxy will need a signed (or stamped) power of attorney from a qualifying student.
  • We do not accept certificate requests via telephone, mail, or fax; we will accept the requests only in person.
  • You are required to present personal identification when collecting a certificate.
  • Certificates of commute cannot be issued to research students, partial students, and auditing students.

  • For a certificate of academic achievement related to receiving a teaching license, please note the type of teaching license to be acquired.
  • In the case of the Faculty of Engineering, as presented in the table below, we will issue certificates for respective qualifications when requested.
